The Organ and Tissue Donation Coordinator (OTDC) enables family members to make informed and confident decisions about the opportunity of organ and tissue donation, and does everything within his/her professional scope of influence to ensure that the donation experience is meaningful and positive; facilitates and coordinates many aspects of the donation process; works closely with the attending health care team to medically manage the patient?s physiologic status following brain death; assists TGLN Provincial Resource Centre and Surgical recovery teams to facilitate on-site recovery; assists in family-aftercare in conjunction with TGLN s Donor Family Advisor.

The OTDC ensures continuous donation support services by:

1)acting as an expert resource in all aspects of organ and tissue donation within the Kingston hospital community. Responsibilities may include the provision of selected services at additional community hospitals
2)Promoting and supporting organ and tissue donation best practices and effective donation processes through liaison with key hospital clinical and non-clinical professionals.
3)Participating as an active member of the Kingston On-call Donation Support Team and participating in the training and monitoring of other call team members as necessary;
4)Supporting the work of the (TGLN or Kingston General Hospital) Organ and Tissue Donation Committee;
5)Contributing to public education in collaboration with the hospital and the TGLN communications department;
6)Collecting and reporting data for quality management practices;

7)Approximate time allocation :

-60% - hospital support and education services, including implementation and evaluation of education, research and quality management and best practice initiatives
-30% - donation case management
-10% - donor family support services

Qualifications/Skills/Experience

-Bachelor of Science in Nursing degree; Master?s level preparation an asset
-Minimum 5 years critical care and/or organ and tissue donation experience
-Current registration with the College of Nurses of Ontario is required
-CNA Certification in Critical Care an asset
-Compassionate, dedicated; professional leadership skills
-Excellent communication and interpersonal skills
-Self-directed and able to function collaboratively within an interdisciplinary team
-Sensitive to spiritual, cultural and other relevant contexts of care
-Demonstrated formal and informal educational programming experience is a definite asset
-Demonstrated ability to effectively work collaboratively with both clinical and non-clinical stakeholders at multiple levels.
-Excellent demonstrated communication skills, both verbally and in writing.
-Ability to work a variety of shifts, including on-call shifts.
-Ability to travel within the general Kingston area and to Toronto from time to time.

TGLN is currently seeking a highly motivated Quality Assistant. Reporting directly to the Director, Quality and Performance Improvement, the position shall provide administrative and compliance services related to the maintenance of organ and tissue donor files.

Role Summary
The Quality Assistant is responsible for continuously maintaining all regulated organ and tissue donation and related documentation to ensure compliance with Health Canada/CSA regulations. The Assistant is also responsible for entering and verification of organ and tissue donation data into the computerized database system.

Key Accountabilities
-Reviews organ and tissue donor charts and completes quality audits to ensure compliance to both TGLN requirements and regulatory standards.
-Works closely with internal and external staff to ensure organ and tissue donor records are completed accurately and any deficiencies are corrected.
-Ensures that all donor charts are closed out in a timely manner, with all deficiencies noted and corrected; reports findings and resolution.
-Assists with the preparation and development of internal quality checklist and tools.
-Ensures proper document storage and security.
-Enters and verifies organ and tissue donor data into a custom database.
-Works with the quality department and clinical staff to identify opportunities to improve data entry flow to support clinical reports.
-Gathers statistical data on organ and tissue donor-related performance metrics and provides reports.
-Answers routine queries in writing and verbally with respect to the completeness of records, use of quality checklists and tools and other related inquiries.
-Completes other administrative responsibilities and special projects as assigned.

Qualifications
-Medical secretary and/or medical records experience. Post-secondary education is a definite asset.
-Exceptional attention to detail.
-Excellent communications skills both verbally and in writing, with the ability to converse with both internal and external staff to correct the deficiencies found in the records and address related issues.
-Excellent organizational abilities.
-Demonstrated proficiency in balancing multiple priorities.
-Excellent proficiency in Microsoft Office Word, Excel and email.
-Excellent reviewing, proofreading, editing and technical writing skills in English.
-Experience in the development and/or reporting of performance metrics and reports is an asset.
